Position Overview

PATHS Management & Consulting is seeking a dedicated and highly organized Executive Services Coordinator to provide part-time administrative and operational support to the executive team and assist with client-focused tasks. This role is ideal for someone looking to consistently earn additional income while enjoying flexible working hours. As our client base grows, this position has the potential to expand into a larger role.




Responsibilities
• Support executive staff with administrative tasks, including scheduling, correspondence, and data entry.
• Assist in coordinating logistics for client events, travel, and accommodations.
• Purchase, organize, and deliver materials and packages, including client gifts and event essentials.
• Track and manage client preferences, schedules, and needs within a client relationship management (CRM) system.
• Monitor and maintain accurate records of expenses, receipts, and reimbursements using tools like QuickBooks.
• Communicate with clients to relay messages and assist with inquiries in a professional manner.
• Handle procurement and inventory management, including athlete supplements and other client-specific items.
• Ensure timely and professional delivery of client-facing items, maintaining attention to detail in presentation.
• Perform light research and coordination for vendors, restaurants, or client-related events.


Compensation and Benefits
• $25/hour, starting from the time you leave your home.
• Reimbursement for gas, travel and transportation expenses.
• $20-$25 daily per diem for meals during work-related errands.
• Part-time position, typically 8-16 hours per week, with work distributed across 1-2 days per week.
• Flexible hours, with most tasks able to be completed during regular work hours, evenings, or after hours based on client and task needs.



Performance-Based Incentives
• Employees who remain with the company for 90 days or more are eligible for up to 1% commission of athlete competition earnings for that quarter.
• Employees who stay on for an entire year or season are eligible for up to 1% commission on season earnings based on the company’s annual performance.



Requirements
• Strong organizational and multitasking skills.
• Proficiency in tools such as QuickBooks, Microsoft Office Suite, and CRM systems.
• Excellent verbal and written communication skills.
• A valid driver’s license and access to a reliable vehicle.
• Ability to maintain confidentiality and professionalism.
• Prior experience in executive assistance, event planning, or client services is a plus.
